When operating an online business it’s only a matter of time before you call, email, and instant message someone in a different state, different time zone and even a different country. Here are a few tactics to handle the communication effectively.

  • Before you place a phone call or even an instant message to someone make sure you what time it is in that location first. (Here’s a time zone map and The World Clock)
  • If you are going to communicating with someone in another country you want to make sure you know the date as well. Be sure that person you are commutating with is also aware of your date.
  • When leaving a voice mail message state the date and time of your message as well as the date and time that you are available for a return call. Be sure to state your time zone and complete phone number including area code.
  • If you are arranging conference calls across states, time zones, or countries make sure that everyone is aware of the date, time and time zone of each other.
  • Focus on being understood by choosing words that are visual, specific and colorful. Don’t use slang, acronyms, foul language and clichés.
  • Avoid criticizing, making negative judgments, correcting the other persons spelling or pronunciation. You know the old you say potato I say potato, you spell it prioritize I spell it prioritise.
  • During phone calls minimize distractions so that you can hear the tone of the words being spoken.
  • After a conference call or meeting, leave a copy of information with them and ask how they would prefer that you follow-up.
  • Be patient and allow plenty of time for questions and solicit their ideas and input.
